CRYSTAL REPORTS QUESTIONS

Why Does My Crystal Report Work Manually but Fail When Automated?

A Crystal Report can work manually and fail automatically because the scheduled run uses a different account, runtime, connection, path or reporting value. Compare those environments before changing the report.

CRD provides saved job settings and execution history to help locate the failing stage.

The missing morning file

Find what changed between your desktop and the job

Imagine a finance manager asking why the daily cash PDF is missing. You open the report yourself and it works, so the scheduled failure seems inconsistent.

The successful desktop run is valuable evidence, but it is not the same execution environment. Your session may supply a database identity, a mapped drive or an interactive parameter the unattended process never receives.

Begin with the exact scheduled error and time. Establish whether the failure occurred while loading the RPT, reading data, exporting the document or delivering it. That prevents an email problem from becoming an unnecessary report redesign.

Keep the failure evidence

Record the message and failing stage before making changes. Remove credentials and confidential report data from anything shared for support.

The likely differences

Investigate Crystal Report automation failures by stage

Run the same RPT, parameters and output on the reporting host under the intended identity where your administration process permits. Confirm the source path and database access, including subreport connections.

Check runtime and driver compatibility. A 64-bit reporting process needs appropriate 64-bit data connections and dependencies; a desktop’s 32-bit DSN is not automatically the same connection. The CRD 64-bit guide describes those requirements.

If the export succeeds locally but delivery fails, investigate the destination account, folder, printer or mail connection. Replacing the scheduler will not repair an inaccessible database or missing driver by itself.

Compare the same reporting values

A scheduled end-of-month selection may return very different data from today’s desktop preview. Preserve the failing parameters during diagnosis.

Work through the run

Restore the cash PDF one stage at a time

First confirm that the scheduled identity can reach the RPT and required data source. Use the intended connection and provide the main report and subreport credentials explicitly where required.

Next, export to a controlled local destination. If that works, add the actual delivery route. This narrows the problem without repeatedly sending test reports to finance.

In CRD, inspect the saved report options and History for the run. The Single Report guide explains database settings, parameters, cached report copies and exception handling. A changed master RPT may require refreshing the schedule’s cached report definition.

After correcting the identified cause, let an unattended scheduled run occur. Open the final cash PDF and verify its period and total, then confirm the configured failure notice works.

A retry needs a reason

Retries can help a temporary outage. Repeating the same invalid credentials or missing dependency will not correct it.

Keep it diagnosable

Give the next failure an understandable trail

Finance needs to know whether the report is late, rather than hearing that the task launched. Agree who receives the failure alert and where that person finds the original run.

A developer should preserve the business date, schedule reference and error stage across the application and reporting service.

Technical reference: isolation and retained report copies

Compare runtime bitness, database drivers, machine-visible DSNs, temporary-folder access and unattended identity. Verify the current requirements with the CRD prerequisites; do not apply an unrelated legacy workaround.

Distinguish refreshing the cached report definition from retrieving current source data. If a rerun could duplicate a delivered output, inspect the destination and execution history first.

Keep a known-good record

Record the working report version and configuration after recovery. That makes the next comparison more useful than another desktop-only test.

Your next step

Let finance find the file again

The useful repair restores the unattended cash report and explains what caused the difference. Keep the existing scheduler if correcting that dependency resolves the requirement.

If the recurring job also needs clearer output and delivery control, explore CRD scheduling and Crystal Reports automation with the report that exposed the problem.
