Can PBRS refresh a Power BI dataset before running a report?

PBRS can include supported Power BI dataset or semantic-model refreshes within an automated workflow before report generation. It can also run independent refresh workflows. Available refresh options depend on the report source and reporting environment.

Reports can be delivered through email, Teams, SharePoint, OneDrive, Google Drive, Dropbox, FTP or SFTP, cloud storage, network folders, printers and other supported destinations. 

Can PBRS create and deliver complete report packages?

Yes. PBRS can run multiple Power BI, Power BI Paginated, Power BI Report Server and SSRS reports from one schedule, with each report configured independently. It can combine outputs into an ordered PDF or Excel workbook, or deliver multiple files together in one email or ZIP file. Data-driven packages can use database or JSON data to determine the reports, filters, parameters, recipients, formats, filenames, messages and destinations required for each customer, department, account or location.

Can PBRS protect PDF and Excel report outputs?

 Yes. PBRS supports separate owner and user PDF passwords, 128-bit encryption, document permissions, text or graphic watermarks, expiry dates and custom expiry messages. Optional PDF DRM can restrict access by approved email address, permitted devices and print attempts. Excel workbooks can use static or data-driven passwords and can also be delivered in encrypted, password-protected ZIP files. 

Do recipients need access to Power BI?

Recipients of exported files do not need to sign in to Power BI. The licensing required to generate those files still depends on the report source, authentication method and deployment configuration. 

What happens when a report is blank or a workflow fails?

PBRS can detect blank reports and either skip delivery, send the report or run another task. Failed workflows can trigger retries, notifications or alternative actions according to the configured exception-handling rules. 

Does setting up Power BI report scheduling require coding?

No coding is required for normal scheduling, filtering, exporting and delivery. Advanced integrations can also use PBRS APIs and custom tasks when required. 

Where is PBRS deployed, and who controls the reporting data?

PBRS is deployed within your organization’s own environment, where your team controls its configuration, credentials, report workflows and delivery destinations. PBRS connects to the reporting systems and destinations you authorize rather than requiring recipients to access reports through a separately hosted PBRS portal. 

How is PBRS different from Power Automate?

Power Automate can handle straightforward, lower-volume report workflows. PBRS is designed for advanced scheduling involving custom calendars, business-event triggers, data-driven personalization, multiple formats and destinations, exception handling, audit history and centrally managed unattended execution. 

Does PBRS require Power BI Premium or Fabric capacity?

Microsoft’s Export To File API for ordinary Power BI reports requires Premium, Embedded or Fabric capacity and does not support PPU. PBRS supports applicable Power BI Pro and PPU scenarios using alternative rendering methods. The licensing required still depends on the report source, authentication method and deployment configuration.
