A recurring PDF should be readable, clearly identified and protected for its intended use. Start with the document your reader needs, including long tables, page breaks and any required password or watermark.

Choose the appropriate source view or sheets and inspect a long export for missing content, clipped labels and awkward page breaks.

Choose the Protection

An opening password, copying restriction or confidentiality stamp serves a different purpose. Select the controls your document actually needs.

Subscriptions: email the required view or workbook as a PDF.

Choose subscription paper size and orientation.

Downloads: select the view or sheets, scaling, paper size and orientation.

Subscriptions can run on a selected schedule or after a supported refresh.

Keep the required View and Download Image/PDF permissions.

Use the native PDF when it meets the reader’s document requirements.

Start with the Exported Pages

Export one representative report before applying its final protection. A short dashboard and a long table can produce very different reading experiences.

Inspect the Source Layout

Check the exported view or sheets for the expected rows, labels and totals, then review page breaks and text size. Use Tableau’s PDF download settings to assess paper size, orientation and scaling; compare those results with a sample produced by your ATRS job. Tableau PDF exports omit web page objects and do not render extensions or Pulse objects.

Use the Intended PDF Reader

Open the protected sample in the reader your recipient will use. That reader determines how document permission restrictions are honored.

Prepare the PDF for Its Reader

Set the document controls once as part of the recurring job. Give the PDF a clear identity and the protection your recipient needs.

Opening and Owner Passwords

Use an opening password for access to the PDF and an owner password for its permission settings. Set values directly or use supported inserts and database values.

Document Permissions

Choose the PDF’s printing, editing and copying permissions for the intended use. The recipient’s PDF reader determines how those restrictions are honored.

Watermarks and Stamps

Add a text stamp such as “Confidential” or a graphic watermark. Configure its appearance, angle and placement to suit the document.

File Names and Reporting Dates

Identify the customer, property or reporting period in the filename. Append a date or time when each reporting run needs its own file.

Document Properties

Set the PDF’s file-summary properties so the document carries the title, subject or author information you need.

ZIP and PGP Options

Compress the output into a password-protected ZIP or configure PGP encryption when the receiving process requires it.

Use Add Header/Footer to PDF to add a header, footer or text to the body. Save the result as a new file when you need to preserve the original.

Worked example

A Weekly Occupancy PDF for the Property Owner

For example, the North property owner needs an occupancy PDF for 5–11 October 2026. Use these requirements to evaluate a representative export.

Setting	Requirement
Source and content	North weekly occupancy, including all required unit rows and the weekly total for the stated period.
Layout	Readable labels and values, complete columns and clean page breaks. Inspect every page and record the tested sample’s page count.
Filename	north-occupancy-2026-10-11.pdf.
Document properties	Title: North weekly occupancy. Subject: 5–11 October 2026.
Opening password	Require an opening password. Test without it, then with the correct password; share that password through the agreed separate channel.
Owner password	Keep the permission-setting password with the maintainer. Test the recipient experience using the opening password.
Permissions	Allow printing; disable editing and copying under the agreed document policy. Test those actions in the intended PDF reader.
Watermark	A visible Confidential text stamp placed clear of report values on the pages where it is required.
Reader acceptance	Match the first and last required unit rows and weekly total to the approved source. Check the filename, document title and reporting period.

Configure the document controls in the PDF output settings. Document permissions depend on the reader and do not prevent every form of copying. If the source export is incomplete, correct the source or export approach before applying protection.

Evaluate the PDF Before Making It Recurring

Bring the source report and one representative long export to your trial. Review its content and pagination first, then the password, watermark and permission behavior together.

Keep Content Authorization Clear

Use a Tableau export account with appropriate access and licensing. Check that the selected report and reporting period are approved for the recipient before applying the PDF’s protection.

Complete the Handoff

Once the PDF meets the requirement, choose its schedule and destination. Design the accompanying email or configure file delivery and recovery.
