The Excel Reporting Challenge

Your Team Needs a Workbook, Not Another Manual Export

A downloaded crosstab may be enough for a quick analysis. Recurring business reporting often needs a familiar workbook layout, useful totals and a reliable route to the right person.

The Layout Already Exists

Finance, operations and partner teams often work from a standard workbook. Copying new Tableau data into that layout each week adds another task to the reporting cycle.

The Data Needs Finishing

Headers, number formats and totals make a spreadsheet easier to use. Repeating those changes after every download takes time away from reviewing the results.

Different Recipients Need Different Files

A regional manager needs their own figures, while finance needs a consolidated pack. Producing, naming and sending those files separately makes a simple export a much larger job.

Native Tableau or ATRS?

Choose the Right Approach for Recurring Excel Reports

Tableau supports Excel crosstab downloads for selected sheets, subject to permissions. Native subscriptions send image or PDF snapshots. Choose ATRS when your Tableau Excel report automation also needs template placement, workbook preparation and delivery.

Native Tableau downloads

A Good Fit for One-Off Analysis

A selected sheet’s crosstab contains the information you need.

You want to download a file for an immediate analysis.

The current filters and parameters define the required output.

The authorized user has the necessary download permissions.

Your team can handle any workbook preparation after downloading.

You can manually name and share the finished file.

ATRS

A Better Fit for Repeatable Workbook Delivery

Produce Excel files on recurring schedules or business calendars.

Insert data-only exports into an existing workbook template.

Set worksheet placement, row and column totals, styling and formats.

Build an ordered report package with multiple worksheets.

Use driver data to personalize filters, filenames and destinations.

Protect and deliver finished workbooks through email or file destinations.

Choose the Excel output for the job. ATRS offers MS Excel and MS Excel Data Only output, both as XLSX files. Use MS Excel Data Only for the template, totals and detailed styling controls described below.

Why Choose ATRS for Tableau Excel Workflows?

Other tools can export Excel too. The useful comparison is how each one prepares the workbook your team actually needs.

01

InfoBurst

InfoBurst supports Tableau Excel crosstabs, password protection and combining selected views. Its documented Excel-template option is limited to Database Query items. ATRS provides template insertion for Tableau data-only exports, with worksheet and cell placement.

02

MailScheduler

MailScheduler supports Excel exports and combined workbooks, with bold headers, column autofit and an option to retain number formatting. Choose ATRS when the requirement includes an existing template, specified insertion cells, row and column totals, and detailed data-only styling.

03

PushMetrics

PushMetrics supports XLSX crosstabs and multi-sheet combinations. For a workbook that needs template placement, totals, row styling and column formats, ATRS provides those controls in its data-only export setup.

04

Tableau REST API and tabcmd

Tableau’s REST API can download XLSX crosstabs, while tabcmd can export view data as CSV. A maintained script can schedule and process those files. Choose ATRS when you want workbook preparation, recipient routing and delivery history configured in one application.

Put Fresh Tableau Data into a Familiar Excel Template

Give colleagues a workbook they recognize. With MS Excel Data Only output, ATRS can place report data into an existing Excel template rather than leaving your team to copy and paste it after every run.

✓

Prepare Your Template

Prepare a template containing a single row with the desired formatting. Select that file, then choose the worksheet where ATRS will insert or append the Tableau data.

✓

Choose Exactly Where Data Starts

Select a starting row and column, or use the next available row or column to append the export.

✓

Keep the Workflow Consistent

Reuse the configured export settings as the schedule runs. Name the output for the reporting period and send it to the team responsible for the next step.

Prepare Excel Data for the People Who Use It

These MS Excel Data Only controls help turn exported data into a workbook that is easier to read and work with.

01

Row and Column Totals

Add totals across rows or down columns. Choose all rows and columns, or specify the row and column numbers that need totals.

02

Workbook Properties

Add a title, author, company, subject and keywords or comments so the workbook carries the context your team needs.

03

Headers, Totals and Alternating Rows

Style headers and totals with font weight, text colors and background colors. Set odd and even rows separately to make longer tables easier to follow.

04

Column Formats

Identify a column by its header name, then set its data type and custom format string for dates, currencies or other values.

05

Reusable Style Settings

Import and export style settings so recurring data-only outputs can share the same formatting choices.

06

Data Validation

Enable data validation before the report is exported.

Workbook Assembly

Build the Workbook or File Set Your Audience Needs

Some reporting jobs need several reports together. Others need existing files assembled before delivery. ATRS provides separate controls for both workflows.

01

Combine Scheduled Report Outputs

Set the reports, export settings and processing order in a package schedule. Merge compatible Excel outputs into one workbook, or send the files together.

Set each report’s filters, parameters and export format
Choose the processing order for the package
Attach multiple outputs together or ZIP them before delivery
02

Merge Existing Excel Files

Use a Files & Folders custom task when the inputs are Excel files that already exist. Configure the merge, workbook protection and document properties.

Combine selected existing Excel files
Set passwords and read-only options
Run the file task as part of a reporting workflow

Read the report-package guide or explore Excel file tasks to configure the workflow that fits your inputs.

Data-Driven Excel Delivery

A Relevant Excel Workbook for Each Recipient

A regional workbook should arrive with that region’s figures already selected. ATRS data-driven schedules use maintained driver data to create and route each recipient’s output.

Apply the Right Filters and Parameters

Supply configured Tableau filter and parameter values from the driver source when the workflow runs.

Name Each Workbook Clearly

Include the recipient or reporting period in the filename so colleagues can recognize the workbook they receive.

Personalize the File and Its Route

Use driver values for email subjects, recipient addresses and file destinations.

Keep Access Rules in the Source

Use an appropriately authorized Tableau account and the required permissions or row-level security. Recipient mapping controls report production and delivery; it does not grant or restrict Tableau access.

✓

Send a Helpful Report Email

Attach one workbook or several report exports to a branded HTML email. Send through SMTP or Office 365 and configure recipients, subjects and messages around the reporting job.

✓

Use the Right File Destination

Route Excel outputs to SharePoint, Microsoft Teams, FTP, Amazon S3 or a network folder. Use deferred delivery when the file should be generated on schedule and sent later.

TABLEAU EXCEL AUTOMATION FAQ

Questions About Tableau Excel Report Automation

Answers about templates, workbook preparation, report packages and recurring delivery.
Can ATRS automate recurring Tableau Excel reports?

Yes. ATRS can schedule Tableau exports in MS Excel and MS Excel Data Only formats, then deliver the resulting files by email or to configured file destinations.

What controls are available for Excel Data Only output?

You can set worksheet names, row and column totals, template placement, header and total styling, separate odd- and even-row styling, column types and custom formats, reusable styles, and data validation.

Can ATRS populate an existing Excel template?

Yes. MS Excel Data Only can insert or append Tableau data into a selected template worksheet at a specified row and column, or the next available row and column. The documented setup specifies a template containing a single row with the desired formatting.

Will an Excel export reproduce my Tableau dashboard exactly?

Not automatically. Data-only template insertion prepares tabular output; it does not recreate a dashboard’s visual layout or automatically include every worksheet or underlying data row.

Can I combine several Tableau reports into one Excel workbook?

Yes. A package schedule can merge compatible Excel report outputs into a workbook with multiple worksheets. Configure the reports, export settings and processing order in the package.

Can ATRS merge Excel files that already exist?

Yes. The Files & Folders custom tasks include an Excel merge workflow for existing files, with password, read-only and document-property options. This is separate from merging outputs in a report package.

Can each recipient receive their own filtered Excel file?

Yes. A data-driven schedule can use driver values for configured Tableau filters and parameters, recipients, filenames and delivery instructions. Tableau permissions and row-level security remain the responsibility of the authorized source setup.

Can I protect or ZIP the workbook before delivery?

Yes. Set an Excel workbook password, compress outputs into a password-protected ZIP, or use PGP encryption with your configured PGP UserID.

How does ATRS differ from native Tableau Excel downloads?

Native downloads provide a selected sheet’s crosstab for an authorized user. ATRS adds recurring production, data-only template preparation, workbook assembly, recipient-specific instructions and automated delivery.

How does ATRS compare with other Tableau Excel distribution tools?

InfoBurst, MailScheduler and PushMetrics also support Excel outputs. ATRS’s documented data-only workflow brings template insertion for Tableau data, cell placement, totals, styles and column formats together. InfoBurst’s documented Excel-template option is limited to Database Query items.

Can ATRS also deliver CSV files?

Yes. ATRS has a separate CSV export configuration with separator and header controls. Choose CSV for a text-based system handoff and Excel when the recipient needs worksheets or workbook formatting.

What should I bring to an Excel automation demonstration?

Bring the Tableau report and an example of the desired workbook. Identify required worksheets, columns, insertion cells, totals, formats, filters, editable areas, formulas, any outline grouping and delivery instructions so the trial tests the output your team will use.
