When Native Power BI Tools Are Enough—and When You Need PBRS

Native Power BI subscriptions and Power Automate can handle straightforward internal report delivery. Choose PBRS when reporting requires personalized outputs, additional export formats, advanced schedules, external recipients, stronger output security or destinations beyond standard email delivery.

Native Power BI Tools

A good fit for straightforward internal reporting

  • Recipients already have the required Power BI access and permissions.
  • A standard scheduled email or PDF snapshot meets the requirement.
  • Recipients can receive essentially the same report content.
  • Standard schedules and email delivery are sufficient.
PBRS Power BI Report Scheduler

Choose PBRS for advanced report automation

  • Generate differently filtered reports for each customer, department or recipient.
  • Export complete reports or visual data to PDF, Excel, CSV and other formats.
  •  Use PBRS rendering for supported Power BI Pro and PPU scenarios without requiring every automated export to rely on Premium or Fabric capacity.
  • Run reports on custom calendars or in response to database, file and email events.
  • Apply passwords, encryption and permissions to exported PDFs.
  • Deliver outputs to email, Teams, SharePoint, OneDrive, FTP, cloud storage, printers and other destinations.
  • Distribute finished reports to recipients who do not need direct Power BI access.

Turn Power BI Reports Into Complete, Automated Report Packages

PBRS combines multiple Power BI reports or visuals, applies the right filters, packages the output and delivers it automatically—without manual exporting, assembly or distribution.

Combine multiple Power BI reports or visuals

Build one automated output from the reports, pages and visual data your recipients actually need.

Build multi-sheet Excel outputs

Organize multiple report or visual-data exports into one workbook with separate worksheets.

Schedule or trigger report creation automatically

Run report packages on a recurring schedule, custom business calendar or supported operational event.

Create organized and secured PDF packages

Merge reports into one bookmarked PDF and apply passwords, encryption and permissions when required.

Personalize every report package

Apply different filters, parameters, report contents, formats and filenames for each customer, department or recipient.

Deliver the finished output automatically

Send completed report packages to the recipients and destinations required by your workflow.

The result: PBRS replaces the manual process of exporting individual Power BI reports and visual data, assembling files and distributing them with one repeatable automated workflow.

One Power BI Report.
Personalized for Every Recipient.

PBRS can use data to determine exactly what each recipient receives—so one automated schedule can generate and distribute many different versions of the same Power BI or SSRS report.

Personalize filters and parameters
Send each customer, department or user only the report data relevant to them.
Control recipients from your data
Use database-driven rules to determine who receives each report automatically.
Vary formats, filenames and messages
Dynamically control output formats, filenames, subject lines, message content and other delivery details.
Deliver each version where it belongs
Route personalized outputs to the appropriate email recipients, folders, FTP locations, cloud services or other destinations.

One PBRS schedule can replace dozens—or hundreds—of manually maintained report subscriptions.

PBRS uses data-driven rules to create personalized Power BI reports for different recipients from one automated schedule.

Run Power BI Reports on Your Schedule—or When Business Events Happen

PBRS can run Power BI and SSRS reports on fixed schedules, custom business calendars or in response to operational events. Reports are generated and delivered when your process requires them—not merely at a preset time.

Schedule reports around your business
Run reports hourly, daily, weekly, monthly or according to custom calendars, working days and month-end rules.
Trigger reports from database activity
Start reporting workflows when qualifying database records are created, modified or deleted.
Respond to files, emails and system events
Run reports when a file appears or changes, an unread email is detected or another supported operational event occurs.
Coordinate dataset refresh and report delivery
Refresh Power BI datasets before or after a report runs and continue the workflow when the required refresh is complete.

PBRS makes report generation and delivery part of the business process—not just another recurring calendar task.

PBRS Questions Answered

Frequently Asked Questions

Learn how PBRS handles deployment, licensing, scheduling, personalization, Power BI exports and automated report delivery.

Deployment & Access

Is PBRS installed on-premises?

Yes. PBRS is installed on a Windows server within your environment. Its application database can be hosted locally or in an enterprise SQL Server instance that you manage.

Does ChristianSteven store or access our Power BI data?

PBRS runs within your environment and uses the Power BI connections and accounts you configure. ChristianSteven does not host the PBRS application database or store your exported report data.

Does PBRS require Power BI Premium or Fabric capacity?

Microsoft’s Export To File API for ordinary Power BI reports requires Premium, Embedded or Fabric capacity and does not support PPU. PBRS, however, supports applicable Power BI Pro and PPU scenarios using alternative rendering methods. The licensing required still depends on the report source, authentication method and deployment configuration.

Can PBRS deliver reports to people without Power BI licenses?

Yes. PBRS can export reports to files and deliver them to customers, partners and other recipients. Recipients of these exported files do not need to sign in to Power BI, although interactive access to the original Power BI report remains subject to Microsoft licensing.

Scheduling & Automation

Can PBRS run reports on custom schedules?

Yes. PBRS supports hourly, daily, weekly, monthly, quarterly and annual schedules, along with working-day, holiday, fiscal and custom patterns such as 4-4-5 calendars.

Can a business event trigger a Power BI report?

Yes. PBRS can start reporting workflows when database records are created, changed or removed; when files appear or change; when qualifying emails arrive; and in response to other supported system events.

Can PBRS refresh a Power BI dataset before exporting a report?

Yes. PBRS can initiate and complete a Power BI dataset refresh before generating the report, helping ensure the exported output contains current data.

What happens when a report is blank or a report run fails?

PBRS can detect blank reports and suppress them, send them or start another workflow. Exception handling can also retry failed report executions immediately or at a configured later interval.

Personalization & Security

Can PBRS create different versions of one report?

Yes. One data-driven schedule can repeatedly run the same report with different filters, slicer values, recipients, formats, filenames, messages and destinations.

Can recipients and report settings be controlled from a database?

Yes. Database tables and queries can dynamically determine recipients, filters, output formats, filenames, message content, destinations and other schedule settings at runtime.

Can PBRS create combined PDF and Excel report packages?

Yes. PBRS can combine multiple reports into organized output packages, including merged PDFs and Excel workbooks containing multiple worksheet tabs.

Can PBRS protect exported PDF reports?

Yes. PBRS supports PDF encryption, passwords, printing and copying permissions, and other security settings. Passwords and security rules can also be determined dynamically for individual recipients.

Exports & Power Automate Limitations

Which formats and destinations does PBRS support?

PBRS supports PDF, Excel, CSV, Word, PowerPoint, HTML and image outputs, among others. Reports can be delivered through email, Teams, SharePoint, OneDrive, Google Drive, Dropbox, FTP/SFTP, network folders, Slack, printers and other supported destinations.

Can PBRS schedule Excel or CSV exports from a Power BI visual?

Yes. PBRS can select named Power BI visuals and schedule their summarized or underlying data for export to Excel or CSV. Visual-data exports are subject to Power BI’s available data and row limits; PBRS currently supports up to 30,000 rows per visual-data export. For larger datasets, PBRS can instead schedule an appropriately designed Power BI Paginated Report.

Can PBRS export ordinary Power BI reports containing more than 50 pages?

Yes. Microsoft’s Export To File API limits an ordinary-report export job to 50 report pages or individual visual exports. PBRS can use its alternative rendering method to export ordinary reports exceeding that limit. Microsoft’s 50-export ceiling does not apply to paginated reports.

How does PBRS avoid Power Automate export and API complexity?

PBRS manages scheduling, rendering, status checking, retry handling, file creation and delivery within one purpose-built workflow. When PBRS uses its alternative rendering method, it is not subject to Power Automate connector throttling or its two-minute synchronous paginated-download limit. Actual throughput can still depend on Power BI capacity, server resources, network conditions, report complexity and data-source performance.
