CRYSTAL REPORTS QUESTIONS

Does SAP Crystal Server Named User Licensing Include Report Bursting?

SAP’s current Crystal Server guidance says personalized automated publishing is included with Concurrent Sessions licensing. Named User licensing alone does not include that feature.

Standard scheduled delivery is a different capability. Compare the entitlement for your actual customer-reporting workflow.

The purchase question

Distinguish one scheduled file from individual statements

Imagine an IT buyer choosing licenses for monthly statements. A demonstration shows a scheduled report email, so it is tempting to assume customer-specific statement publishing is included too.

The two workflows differ. Sending the same report output on a schedule is not the same as automatically producing unique data for each recipient.

For this example, each customer needs their own statement. Describe that requirement explicitly when confirming the SAP Crystal Server entitlement, rather than asking only whether the product schedules reports.

Use the actual deliverable

Ask for an entitlement covering automated personalized customer statements. The phrase “report email” can hide the distinction.

The documented entitlement

Understand Crystal Server Named User bursting rights

SAP’s Crystal Solutions FAQ distinguishes Named User and Concurrent Sessions licensing for Crystal Server 2020 and 2025. It assigns automated personalized publishing to the Concurrent Sessions route.

The restriction does not mean Named User licensing lacks all scheduling, or that each static-file recipient necessarily consumes a purchased concurrent session. Keep server access and publishing rights separate.

CRD offers a different execution and distribution workflow around existing RPT files. It is relevant when you want to compare dedicated customer delivery with acquiring the server publication entitlement.

Keep standard delivery separate

Named User scheduling can email a report. Personalized automated publishing has a separate entitlement.

Evaluate the choice

Compare the two-customer statement workflow

Confirm the installed SAP Crystal Server version, existing entitlements and required publishing behavior. Obtain the current proposal for the workflow, including any prerequisite licenses.

Prepare two statements with distinct customer data and controlled addresses. If evaluating CRD, use a Bursting or Data-Driven schedule according to the report structure.

Open each PDF and check customer identity, transactions and period. Change one customer assignment and examine how that change is maintained.

Include an archive destination, protection or package requirement only where the statement actually needs it. Those tasks make the cost and operational comparison more complete.

Keep the commercial evidence

Retain the current quote and entitlement description with the tested workflow. Older price lists may describe a different version or license basis.

Keep the boundaries clear

Retain the rights the chosen deployment still needs

Choosing a dedicated scheduler can replace the personalized delivery workflow without using SAP Crystal Server publishing for that job. It does not automatically remove every SAP component or license from the environment.

Technical reference: access and runtime scope

Verify report creation, runtime deployment, application access and redistribution terms for the intended installation. Existing users may still need SAP Crystal Server access for other work.

Keep customer authorization, parameter mapping and destination approval explicit in the replacement. A different scheduling product does not itself establish that the delivered statement contains only the intended customer’s data.

Keep server access in the inventory

If staff still use the repository interactively, include that service in the retained licensing and operating plan.

Your next step

Choose the entitlement for the statement service

The buyer should leave the evaluation knowing which route permits and produces the customer statements, with the remaining deployment rights understood.

Use CRD personalized distribution and Crystal Reports automation alongside SAP’s current entitlement and quote.
